Group Booking Terms and Conditions

1. Complimentary Room Allocation

We offer one complimentary room (Free of Charge) for either the coach driver or tour host/hostess when 15 or more rooms are booked for a group of at least 20 

guests. This room will be of the same standard as the guest rooms and includes complimentary breakfast and dinner.

2. Room Availability & Booking Timeline

Monday to Thursday
We can accommodate a maximum of 20 rooms during weekdays due to regular guest bookings.

Weekends & Public Holidays

• A minimum of 20 guests is required for weekend or public holiday bookings.
• A 30% surcharge applies.
• No complimentary (FoC) rooms will be provided on these dates.

60 Days Prior to Arrival

• The tour company must submit a preliminary rooming list.
• Adjustments to reduce room numbers may be requested at this stage.

30 Days Prior to Arrival

• The final rooming list is required.
• We will hold an additional 2 rooms as a buffer without penalty.
• Any unconfirmed rooms beyond this will be released.
• An invoice will be issued for confirmed rooms.

14 Days Prior to Arrival

• Room numbers will be locked in; no changes will be accepted.
• Cancellations after this date will incur a $250 fee per room.
• No refunds will be issued for last-minute cancellations.

• Dinner, Bed & Cooked Breakfast (Triple Share)
  2-course dinner & fully cooked breakfast — $185
• Single Supplement — $90

3. Booking Confirmation & Payment

• All bookings, amendments, and cancellations must be made in writing.
• If another confirmed reservation is received for the same dates, a full deposit and/or prepayment may be required to secure your group booking. Failure to make timely payment may result in the cancellation of the reservation.
• Full payment is required no later than 14 days prior to arrival.
• The coach operator or tour leader must present a booking voucher upon arrival to confirm the group reservation.
• Rates and terms agreed upon will remain valid for the entire contract period, even in the event of a change in ownership or management of the property.

4. Meal Arrangements

• Pre-set dinner and breakfast menus are provided for all group bookings. Menus will be shared at the time of booking and may be updated up to 90 days prior to arrival.
• Meal selections must be submitted by the group leader at least 7 days prior to arrival.
• All meals include tea and coffee.
• Changes to meal orders cannot be accommodated unless agreed upon in advance.
• Dietary requirements within the contracted rate will be accommodated. Any additional or special requests must be confirmed and agreed upon no later than 7 days prior to arrival.

5. Cancellation Policy

• Cancellations made less than 14 days prior to arrival will incur a $250 cancellation fee per room.
• No refunds will be provided for cancellations made within 14 days of arrival.
• The motel reserves the right to cancel reservations if payment terms are not fulfilled.

6. Liability and Responsibilities

• The motel will exercise reasonable care in safeguarding guest property, but will not be held liable for any loss, damage, or theft unless resulting from negligence.
• Guests are responsible for the behavior of their group and for any damage caused to motel property during their stay.

7. Force Majeure

Neither party shall be held liable for any failure or delay in fulfilling obligations due to circumstances beyond their reasonable control, including but not limited to natural disasters, strikes, government actions, or pandemics.

8. Privacy and Data Protection

• All personal data will be handled in accordance with applicable privacy laws.
• Guest information will be used solely for booking and accommodation purposes and will not be shared with third parties without prior consent.
